Orientation Is More than Just Paperwork

Starting a new job can be an exciting time for both the new employee and co-op staff. It’s so much more than just filling out paperwork on the first day of work. The opportunity to create an engaging experience starts with the employee application and interview process. Take the opportunity to start the conversation about job expectations and demonstrate what great customer service looks like. Staying in touch with the applicant between the day the job offer is accepted and the first day of work can ensure a smooth on-boarding process and eliminate surprises for both the employee and the co-op.

Tips for the First Day

When day one arrives, the co-op staff should be prepared to welcome the new employee when they arrive for their first shift. The manager or HR representative will want to meet with the employee on the first day to make introductions and review the basics such as their work schedule, the training plan, and policies that they need to know before attending a full orientation class.

More ideas for a great first day:

• Notify the co-op team that a new employee is joining the team and their position and department.

• Prepare the front-end staff to greet and welcome the new employee when they enter the building on the first day. Calling the new employee by name and walking them to their new department to meet their supervisor will go a long way in making the employee feel comfortable and welcome in the new environment.

• Set out the co-op items that a new employee will need to get started in their position such as a nametag, co-op uniform, apron, shirt (if required), handbook, paperwork, etc. Put a welcome sign with the employee’s name on a locker or mailbox if available.

• Give a tour of the co-op and introduce the new employee to each department.

• Assign a peer buddy to have lunch or a break with the new employee.

The First Day Is Just the Start

A good orientation process continues after the employee’s first day of work. Conducting regular orientation classes is one way to ensure that every new employee receives the information needed to be successful in their position. The number of new employees hired each month will determine the frequency and format of orientation classes. Holding an orientation class at least once every month is suggested to supplement the employee’s position training in the first 30 days of employment.

The orientation class may be split into modules that can be conducted in one-hour increments scheduled for different days or conducted as one longer session. Asking the GM and/or other co-op managers to participate in the orientation classes with HR is beneficial for both the new employee and managers.

Suggested topics for the orientation class include:

• The history of your co-op and an overview of cooperatives.

• Safety and security training.

• Detailed review of employee handbook and policies.

• Customer service training.

It is important to check in with the new employee often during the orientation and training period. A quick check-in at the end of each shift for the first week and at least once a week after that is helpful to get feedback from the employee, answer any questions and to ensure the new employee feels welcome at the co-op.

Take Time Now to Ensure Success

You may be wondering how you’ll be able to devote so much time and energy to every new employee. It may help to think about how much time and effort is involved in finding and hiring employees. You have already made a significant investment before an employee walks in the door on their first day. Spending the appropriate time and effort during on-boarding and orientation will ensure their continued engagement and success at the co-op.
